How to Prepare PDF Documents for Online Submission

Online submissions — job applications, university admissions, government forms, insurance claims — often require a well-organized PDF. Here's a practical workflow to get your documents ready.

Step 1: Convert Paper Documents to PDF

If you have scanned pages or photos of documents, convert them to PDF first.

  • Go to Image to PDF
  • Upload your images (JPG, PNG, WebP, BMP, or GIF — up to 10 MB per file)
  • Reorder pages by dragging
  • Choose page size (A4, Letter, Legal, or Fit to Image)
  • Adjust margins if needed and convert
Note: Images are embedded as JPEG in the output PDF. For best results, use high-resolution scans or photos with good lighting.

Step 2: Merge Multiple Files

Most submission portals accept a single PDF. If you have multiple documents (cover letter, resume, certificates), merge them.

  • Go to Merge PDF
  • Upload all your PDF files
  • Reorder using the up/down arrows
  • Click "Merge PDFs"

Merging is completely lossless — all text, images, and formatting are preserved exactly as they were.

Step 3: Fix Page Orientation

If any pages are sideways or upside-down after scanning, rotate them.

  • Go to Rotate PDF
  • Upload the merged PDF
  • Select the angle (90°, 180°, or 270°) and which pages to rotate
  • Download the corrected file

Rotation is also lossless — only page metadata changes, content stays untouched.

Step 4: Reduce File Size (If Needed)

Many submission portals have file size limits (commonly 2–10 MB). If your PDF is too large, you have two options:

Option A: Compress (Lossy)

Compress PDF reduces size by re-rendering pages as JPEG images. This is effective but has trade-offs:
  • Text becomes image-based (not selectable or searchable)
  • Start with "Low" compression (85% quality, 150 DPI) for minimal visible difference
  • Always review the output before submitting

Option B: Split and Submit in Parts (Lossless)

If the portal allows multiple files, split the PDF into smaller sections. This preserves full quality and text selectability.

Step 5: Add Watermarks (Optional)

For sensitive documents, you might want to add a visible watermark before sharing:

  • Go to Watermark PDF
  • Add text like "FOR SUBMISSION ONLY" or "CONFIDENTIAL"
  • Set a low opacity (10–20%) so it doesn't obscure content

Watermarking is lossless and does not affect the underlying content.

Step 6: Password Protect (If Required)

Some submissions require encrypted PDFs. Note the trade-offs:

  • Go to Protect PDF
  • Set a password and choose permissions
  • Download the encrypted file
Important: The encryption process re-renders pages as images. Text will no longer be selectable in the protected output. If the submission portal needs to extract text (e.g., for automated resume parsing), do not encrypt — or check with the portal first.

Tips for Successful Submissions

  • Read the portal requirements carefully — check allowed formats, size limits, and naming conventions
  • Name files clearly — "John_Smith_Resume_2026.pdf" is better than "document.pdf"
  • Test-open your PDF before submitting to catch orientation or quality issues
  • Keep originals — always save your uncompressed, unencrypted source files
  • Submit early — don't wait until the deadline to troubleshoot file issues
